We are seeking a Scheduler, who will play a vital role in scheduling clinics for our healthcare professionals, including GPs, Nurse Practitioners, Practice Nurses, Health Care Assistants, Pharmacists, and Complex Care Team members.

This is an exciting opportunity to join a dynamic, innovative, welcoming and supportive team providing primary care, at Frome Medical Practice. We are a single site practice and Primary Care Network in our own right with a patient population of around 30,000. We have received National Awards for Sustainability and our Green Impact work and have also been nationally recognised for our outstanding Health Connections (social prescribing) programme, which is based in the practice. We have strong relationships with our local community and local healthcare providers and are situated next to the local community hospital.

The working hours for this role are 24 hours per week; Monday 7.30am to 1.30pm, Tuesday 7.30am to 1.30pm, Thursday 7.30am to 1.30pm and Friday 7.30am to 1.30pm.

Responsibilities will include

Scheduling & Timetable Management

  • To schedule and ensure consistency of approach to daily timetables of clinicians.
  • To check absences and reschedule appointments and clinics as necessary.
  • To proactively identify and escalate any gaps in rota coverage to the Operations/Practice Manager.
  • To ensure all daily schedules are planned to ensure coverage of all key services, including ward cover, DVLA Medicals and Fracture Clinics.

Service Coverage & Clinical System Management

  • To ensure chronic disease, cytology, family planning, leg ulcer, immunisation, blood pressure checks, blood tests, NHS Health Checks and other PN/HCA key services are covered.
  • To keep an overview of annual staffing and adjust where required for seasonal variations.
  • To check and approve leave requests ensuring staffing levels are maintained.
  • To maintain and update appointments and clinical scheduling systems to ensure accurate, real-time representation of clinical capacity.

Room and Resource Planning

  • To plan and oversee room usage across the practice; respond to room booking requests; liaise with Finance regarding external bookings.
  • To ensure check-in screens are synchronised daily.

Communication & Coordination

  • To ensure the daily update is sent to all staff.
  • To ensure schedules are regularly reviewed for scheduling errors.
  • To support the practice’s compliance with access standards by ensuring timely and accurate appointment allocation and utilisation.
  • To provide accurate information to staff regarding appointment availability and changes.

Process Improvement & Operational Support

  • To implement changes required to meet service needs and support improvements.
  • To support other operational requirements of the practice when needed.
  • To assist with data quality tasks related to scheduling

Essential qualifications and experience:

Qualifications
  • 5 GCSEs at A-C or equivalent including English and MathsEssential
 
Experience
  • Experience of using computer-based information systems

  • Previous Primary Care experience
  • Experience of clinical based computer systems

  • Ability to work both independently and as part of a team
  • Ability to use own judgement, resourcefulness, common sense to respond to day-to-day issues as they arise
  • An understanding, adherence to the need for strict confidentiality
  • Able to make informed decisions under pressure
